Back to ResultsOur client is seeking an experienced Office Administrator/Secretary to provide comprehensive secretarial and administrative support to the Trust Department. This is a full-time role, where you will manage a range of tasks, from handling travel arrangements to assisting with client reviews and maintaining confidential documentation. You will be a key support to the department, ensuring smooth operations and adherence to company regulations. Click here to read more. Job Duties: Provide cover for the Administration Assistant, including distributing incoming mail and managing the switchboard. Arrange travel and prepare detailed itineraries for team members. Prepare quarterly investment fact sheets and Arc Indices to assist with client investment reviews. Obtain address verifications via XDS, scan client CDD, and update the system accordingly. Prepare and update Authorised Signatory Lists for intermediaries. Collate and distribute Risk, and Board meeting packs on a quarterly basis. Attend meetings, taking and preparing minutes for circulation. Assist with any departmental projects as required. Ensure compliance with Anti-Money Laundering (AML) regulations and maintain strict client confidentiality. Job Requirements: A minimum of 5 years' relevant administrative or secretarial experience. Qualified to General Certificate of Secondary Education (GCSE) level. Proficient in Microsoft Excel, Word, and Outlook, with experience in electronic diary management. Ability to prioritise tasks effectively to meet deadlines. Strong communication skills, with a professional and pleasant telephone manner. Diplomacy and tact in dealing with clients and colleagues. Experience in minute-taking and corporate secretarial tasks is beneficial.
