Back to ResultsOur client is seeking a detail-oriented and organised Company Secretarial Office Assistant to support the Corporate Services department. This role involves assisting with company secretarial services for a selection of fund entities, including regulated, listed, and private equity clients. Full training will be provided. Job Duties: Assist with arranging board meetings, including room setup, lunch ordering, taxi bookings, sending invitations, and updating records Request and monitor the receipt of board papers Assist with the preparation of Company Secretarial reports and appendices (primarily Excel-based) Support the preparation of board meeting packs using web-based board pack platforms Assist with drafting minutes for standard transactions using templates Circulate minutes in a timely manner and arrange execution via DocuSign Maintain statutory records, including setting up and updating hard and soft copy files Assist with timely filing of documents and logging agreements on the master agreements log per client Support the completion and submission of annual return forms for all administered companies and limited partnerships Assist with filing tax exemption applications for client entities Help with the settlement of statutory fees, including Guernsey Registry fees, regulatory fees, and stock exchange filing fees Maintain various registers, including directors and secretaries, members, and seal registers Support the maintenance of Company Secretarial procedures Collect KYC information for new directors or other required persons Maintain internal spreadsheets, client information sheets, and data Assist with setting up and maintaining client company letterheads and registered office records Undertake any other duties as delegated by the Head of Company Secretariat Job Requirements: Good telephone manner and verbal communication skills Strong attention to detail and a high level of accuracy Good knowledge of Microsoft Excel and Word Effective communication and organisational skills Client-focused with a proactive approach Team player who enjoys a varied and busy workplace 1-2 years’ experience working in an office environment Knowledge of PowerPoint Familiarity with Diligent or Board Intelligence (training will be provided) What You’ll Love:Our client offers a dynamic and supportive working environment where you will develop key skills in company secretarial services.
