Our client is seeking an Executive Support Administrator to join their Operations team on a permanent, full-time basis. This opportunity offers the chance to be part of a growing team providing high-level administrative support to senior stakeholders across the Channel Islands. The successful candidate will play a key role in managing diaries, coordinating meetings, and supporting business priorities for Partners and Directors. Travel between Jersey and Guernsey may occasionally be required. Job Duties: Manage complex diaries and ensure stakeholders are fully prepared for meetings Coordinate domestic and international travel, including visas, flights, accommodation, and transport Prepare meeting materials such as briefing notes, bios, and slides; attend meetings to take minutes and create follow-up actions as required Support with the drafting and proofreading of internal and external communications and documentation Monitor stakeholder inboxes, prioritise correspondence, and escalate issues where appropriate Coordinate specific projects and assist with research and logistics as needed Manage stakeholder time effectively by understanding their business priorities Provide support on CRM systems and ensure adherence to data compliance policies Support internal event coordination, including logistics, venue booking and liaising with suppliers Assist with the production and submission of timesheets, expenses, and invoice claims when required Support onboarding of new joiners with travel booking and logistics Engage with firm-wide systems and technology to drive efficiency and support others with system usage Contribute to internal initiatives such as wellbeing, CSR, and social events Provide ad-hoc administrative support during peak periods or in other areas as needed Job Requirements: A positive and enthusiastic approach with a willingness to learn Strong organisational and time management skills with the ability to manage multiple stakeholders Excellent communication and interpersonal skills High attention to detail and a strong sense of discretion and confidentiality Ability to prioritise workload, make decisions, and work independently Comfortable with technology and open to adapting to new systems Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); willingness to learn new tools Experience with data manipulation or visualisation tools is advantageous Previous experience in minute taking is desirable What You’ll Love:​​​​​​​Our client offers a collaborative and forward-thinking environment where operational support plays a vital role in business success.
