Our client is seeking a dedicated Facilities Administrator to join their Operations team in Guernsey. This is a full-time position, pivotal in ensuring a professional front-of-house service. The Facilities Administrator will manage daily administrative tasks while providing exceptional support for visitor management and facilities coordination. By ensuring smooth daily operations, you will play a crucial role in maintaining the high standards expected. Job Duties: Welcome and direct guests as the first point of contact for the Group, providing outstanding customer service. Manage guest arrivals, notify appropriate personnel, and maintain visitor logs meticulously. Ensure the reception area is clean, tidy, and presented professionally at all times. Open and distribute incoming daily post and manage couriers effectively. Log and ensure timely delivery of all packages and items to the appropriate recipients. Process and manage all outgoing correspondence and packages efficiently. Timely processing of documents through filing and scanning to allow for easy retrieval. Action archive requests in line with internal procedures and manage document organisation systems. Oversee document destruction, maintaining the document destruction spreadsheet. Prepare meeting rooms for conferences, meetings, and events as required. Support corporate events, ensuring smooth operations and coordination of refreshments. Liaise with caterers, plumbers, maintenance staff, and other service providers effectively. Identify and report maintenance needs and facilities issues. Conduct weekly checks and restock office stationery cupboards. Regularly check shredding bins for security coordination and liaise with external providers. Job Requirements: Excellent written and verbal communication skills, capable of interacting professionally with visitors and staff. Strong attention to detail across all administrative and facilities tasks. Proficient in organisation and prioritisation to meet business needs in a busy role. Professional demeanour and approach when dealing with visitors and representing the Group. Strong team collaboration skills to support colleagues across various departments. Good IT skills, with familiarity in Microsoft Word, Excel, and Outlook. Problem-solving skills to handle facilities issues and coordinate effective solutions. Flexibility to adapt to diverse responsibilities, from reception duties to facilities coordination.
