Our client is seeking a Personal / Executive Assistant to provide comprehensive support to the Directors in Guernsey. This role is crucial in ensuring the team operates effectively and efficiently while maintaining a high standard of client service. The ideal candidate will be motivated, committed, and knowledgeable, inspiring confidence within the team. The position aims to facilitate the smooth running of executive functions by managing a range of administrative tasks. The role involves full-time engagement, and the successful candidate will be expected to blend seamlessly into the team's dynamic. Key responsibilities include diary management, meeting coordination, and correspondence preparation. Job Duties: Providing efficient executive assistant support to the Directors, ensuring optimal time management. Managing diaries and emails, organising meetings and travel arrangements if required. Preparing presentations, proposal documents, reports, and agendas using PowerPoint. Taking dictation and minutes during meetings as necessary. Proactively identifying ways to enhance departmental functionality and client service. Acting as the primary point of contact for the Directors with internal and external stakeholders. Supporting team members to ensure that all duties are completed in a timely manner. Representing the firm positively and building a network of professional contacts. Job Requirements: Excellent interpersonal and communication skills, with the confidence to engage with individuals at all levels. Strong diary management abilities. Good time management and organisational skills, coupled with proficiency in Microsoft Office Suite. Ability to understand the business, team dynamics, and different functions within the organisation. A collaborative team player who can also work independently and is flexible in approach. Calm and composed when faced with unexpected circumstances. Discreet and respectful of confidentiality and the views of others. Proactive in identifying and resolving potential issues to mitigate risks. Capable of working autonomously and confidently addressing challenges while referring to the Directors as needed.
