Back to ResultsThis role involves providing proactive, high-level administrative support to senior leaders, including Partners and Executives, in a professional services environment. The successful candidate will enhance operational efficiency and client care. Principal duties encompass a range of secretarial and administrative tasks, including amending complex legal documents, managing diaries, and arranging meetings. The position also entails maintaining client billing records, producing presentations, and assisting in business development activities. Furthermore, the candidate will work closely with legal documentation processes and ensure compliance with internal protocols. This is a full-time role, requiring 35 hours of work per week. Job Duties: Provide secretarial support by preparing and amending lengthy legal documents accurately and promptly. Check and proofread documents, ensuring they align with the required style. Assist in creating new client matters on the Document Management System (DMS). Copy type and perform audio typing from various sources when required. Serve as backup for Corporate secretaries during absences. Manage general administration tasks, including answering phone calls and dealing with emails efficiently. Arrange conference calls and manage appointments, meetings, and ensure all necessary materials are ready. Conduct initial conflict checks in collaboration with Compliance to open files and obtain Client Due Diligence (CDD). Handle file management and archiving, ensuring accurate capture of all matter opening data. Process fee earner expense claims and maintain up-to-date timesheets for designated Partners. Update partner and fee earner contacts in the CRM system and manage marketing activities. Create and format compelling PowerPoint presentations while adhering to brand guidelines. Organise travel arrangements, client meetings, and associated logistics for business development. Ensure comprehensive management of billing and debt chasing for both Partners and their teams. Maintain accurate records of all directorships and bill accordingly. Job Requirements: Proven experience as an Executive Assistant, particularly within a legal or professional services context. Anticipate needs and operate with a high degree of autonomy. Maintain professionalism and confidentiality at all times. Exceptional verbal and written communication skills for dealing with senior stakeholders. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and legal document management systems.
